iPhone Text Replacement: how to set it up, and where it falls short

November 8, 2026

If you type the same email address, phone number or reply several times a day, Text Replacement can save you a lot of taps. It’s built into every iPhone and costs nothing.

How to set it up

  1. Open Settings.
  2. Go to General › Keyboard › Text Replacement.
  3. Tap +.
  4. In Phrase, enter the full text, for example your address.
  5. In Shortcut, enter a short code, for example @@a.
  6. Tap Save.

Now type the shortcut in any app and tap the suggestion (or press space) to expand it into the full phrase.

Your text replacements sync to your other Apple devices that use the same Apple Account with iCloud.

Where it falls short

Text Replacement is great for short, fixed phrases. It’s not designed for:

When to use something else

If your repeated messages often include a document or image, or you have more replies than you can remember shortcuts for, a dedicated app can help. Options include snippet managers with keyboards, and libraries that keep text and files together. We compared them in The best iPhone apps for saving reusable text, screenshots and documents.

We’re building Suvadi for the “reply plus a document” case: keep your replies, PDFs and screenshots in one private library, find them by any word inside them, and copy or share in one tap.

For short phrases, though, start with Text Replacement. It takes two minutes and it’s already on your phone.

Suvadi keeps the replies, documents and screenshots you reuse in one private library on your iPhone, searchable by the words inside them.
